Executive Assistant to the CEO

Your role at Tony’s

Tony’s exists to make 100% slave free the norm in chocolate. We are looking for an Executive Assistant to the CEO (Dutch Speaking) to join our team in Homebase Amsterdam. The #1 goal of this role is to make sure that our CEO Douglas can run this impact company in the most effective way. Because a boat without a captain is steer less and we have a very clear destination. You’ll be starting in the Special Forces team, together with the other Chiefs and our Kaizen Meister (strategy lead).

Here’s what you’ll do:

Make the CEO ‘s life seamless (50%)

It is super important that our CEO is able to focus on our mission worldwide.

  • You’ll manage his calendar, his inbox and his to do list in a way that is realistic and will assertively take/keep tasks away from him;
  • Douglas will be based in the UK, but travelling to Homebase and the other markets on a regular basis. Organizing his travel end to end to make his and his family’s life as smooth as possible;
  • Besides that there are the standard to do’s like declarations, welcoming external meetings, scheduling meetings, organizing leadership events and team away days, prioritizing to do’s etc.

Support the other chiefs (50%)

  • The management team consists of our chief of finance, chief of product, chief markets, chief of operations and chief people & culture. In the time you are not supporting Douglas, you will help each of them with certain specific tasks. This may vary for each of them but that could be booking their flights, scheduling an appointment, help them organizing with a team event – you name it! And if you see they actually need help, you will offer them your help. That’s just who you are.

You are the bridge everyone trusts and can rely on

  • You are a people person that loves interacting with people right across the business but in parallel you have great judgement and discretion, which means you are trusted by the CEO and the Chiefs but as importantly you are trusted and respected across the business – so people share their thoughts and feelings with you and you know when and what to pass on to the leadership group to help the business keep getting better (you are also not afraid to share your own thoughts too when it matters). You also need to strongly believe in and role model the values and behaviors of the company. As a fast growing, entrepreneurial company you are comfortable rolling up your sleeves and helping out where help is needed – this is just in your DNA and Tony’s can always use an extra hand.

What you already bring to the table:

  • Worked as a PA/EA to a CEO or equivalent for at least 5 years;
  • You have an eye for detail, love planning and have good organization skills;
  • You are fluent in Dutch and English;
  • Available to work at our Amsterdam office 4-5 days per week;
  • Loyalty and caring are high values for you;
  • You take your job serious, know how to prioritize and keep your boundaries;
  • You have experience of organizing events and away days for senior / project teams;
  • You are familiar with complicated calendar and travel management;
  • The values of Tony’s resonate strongly with your personal values – entrepreneurial, willful, outspoken & fun;
  • You are a good laugh!
